Finance Coordinator

 

Reporting to Prologue’s Executive Director the Finance Coordinator is responsible for the timely and efficient management of the organization’s financial records.

This is a part time position for 16 hours per week and the salary is $30/hour.  Administration experience and strong budgeting skills are desired requirements for the position and experience managing not-for-profit sector finances would be considered assets. 

 

Responsibilities Include

    Bookkeeping 

    • Ensure that all financial transactions (receivables, payables, invoices, etc.) are accurately prepared and recorded
    • Ensure that all liabilities and receivables are kept current 
    • Ensure that all bank deposits are prepared accurately and on a timely basis
    • Ensure that charitable donation receipts are prepared on a timely basis
    • Prepare artist payroll, verifying that sales billed, scheduled and performed agree with contracted amounts
    • Prepare all tax reports and remittances on a timely basis

    Financial administration of sales

    • Monitor public contract deposits
    • Record and track all sales by artists and buyers to ensure accuracy
    • Confirm contract details and pricing for accuracy
    • Reconcile sales figures against financials records on a regular basis

    Monthly review and reporting

    Reconcile accounts:

    • Bank and investment accounts against statements
    • Payables and receivables
    • Payroll accounts against Receiver General statements
    • Brief Executive Director on financial position monthly
    • Prepare monthly financial statements with budget comparisons
    • Prepare monthly analysis of actual/budget variances
    • Monitor and reconcile budgets for special events and projects, and assist in preparation of final budget reports

    Assist with budgets and projections

    • Assist Executive Director to develop current and future year budgets, and to update projections quarterly 
    • Assist Executive Director to project annual sales figures, and to review and update projections quarterly 
    • Support preparation of financial and statistical sections of all grant applications 

    Year-end and audit

    • Prepare audit working papers
    • Work with auditor and Executive Director to ensure a smooth and accurate audit
    • Prepare T4s and T4 Summary at payroll year-end

    Accounts receivable

    • Tracking incoming payments and obligations
    • Sending bill reminders and contacting clients to facilitate payment of invoices 

    Other duties as assigned by management

    Qualifications & Skills:

    • Post-secondary education in accounting, finance, business or related area
    • Minimum of two years’ experience in bookkeeping, accounting or financial management
    • Attention to detail and focus on accuracy 
    • Knowledge of QuickBooks online and/or other accounting software considered a strong asset
    • Knowledge of Salesforce and/or other Customer Relationship Management (CRM) products considered an asset 
    • Excellent verbal, written and interpersonal communication skills
    • Interest in the arts, education and community engagement considered an asset
    • Background and experience in the not-for-profit sector considered an asset
